Sales order in your ERP

  1. The inbox is full of PDFs and spreadsheets

    Today

Someone opens each one and keys it line by line, using the customer's codes, not yours.

    With B2Bware

Orders are read as they arrive, overnight included. You see finished sales orders, checked against your prices, stock and credit, waiting for approval.

  2. A customer rings for "the usual", no part numbers

    Today

Your rep scrolls old orders to work out what they mean, then keys it.

    With B2Bware

They reorder from their own portal with their usual items listed. Phone and WhatsApp orders are captured into the ERP too.

  3. Price query on one of 20,000 SKUs

    Today

Someone checks the price list, then the contract price, then rings the customer back.

    With B2Bware

Every account sees its own price, straight from your ERP. The question does not get asked.

  4. The webshop shows stock you do not have

    Today

Prices and stock are copied over now and then, so the shop and the ERP disagree.

    With B2Bware

Prices, stock and orders sync live with your ERP, across branches and warehouses.

  5. Still keying

    Today

The desk stays late to clear the day's orders.

    With B2Bware

The queue is cleared. The team spends the day on customers, and on selling.

Trusted by businesses building the future of B2B commerce.

Built for big catalogues

The things an off-the-shelf shop cannot carry once you have thousands of products and a price for every customer.

  • Per-customer prices across thousands of SKUs

Each account sees its own prices, range and terms, live from your ERP. No price lists copied into a shop.

  • Live stock across branches and warehouses

Stock follows the ERP, so customers and your team see the same number.

  • Supplier product data loaded for you

We load product data from your suppliers, so you are not chasing datasheets or filling gaps by hand.

  • Big customers order from their own buying system

Punchout lets a large account order from inside its own procurement system, at its own prices, into your ERP.

Three fixes, one team

One team owns all three, so nobody points at another supplier. Live in weeks, not months.

  • Read the emailed orders

PDFs, spreadsheets and "same as last time" emails become finished sales orders in your ERP. Their codes are mapped to yours, and every correction is kept so the same mistake does not come back.

    Emailed orders
  • Give accounts an online ordering portal

Customers reorder their usual items at their own prices, live stock showing. We set up the accounts and invite your customers with you, so people use it.

  • Link the shop to your ERP

Prices, stock and orders sync live, for any ERP. When the ERP updates, we fix the link, and that is in the monthly fee.

Kienesberger

General distributor for several brands, Austria

Each customer sees their own prices from the ERP in their portal, across about 70,000 price entries.

Its old shop would have needed over 20 million price entries to do the same.

Is this for a business like yours?

Right for you if

  • You sell to account customers on their own prices
  • Thousands of SKUs, often from several brands
  • Customers reorder by email, phone or through a rep
  • Your inside sales team keys orders into the ERP

Not for you if

  • Trade-counter merchants, where most sales are over the counter
  • Spot or commodity pricing with no price list behind it
  • Orders that are configured or priced one by one

Live sync with your ERP No guessing which price is right

Your ERP and B2Bware work as one. Prices, stock and orders sync live, so customers see what your ERP says and your team stops double-checking.

  • One source of truth

Sage, Business Central, NetSuite or whichever ERP you run stays the master. No connector? We build it.

  • No copying between systems

No more copying data between tools, and no more "is this the latest price?" calls.

  • Live, accurate data

B2Bware reads from and writes to your ERP directly, so what customers see is live and right.

Fair questions before you book

“Our big accounts use EDI.”
Keep it. EDI covers the big accounts. A large customer can also order from inside its own procurement system with punchout, and the order lands in your ERP. We handle the emailed and phoned orders from everyone else, and can add an EDI link if you need one.
“We already use an AI order tool.”
If it works, keep it. If your tool gives you a file someone still checks and uploads, or mapping changes wait on the vendor, we finish the job: their codes, your prices and accounts on stop handled, then the finished order posted to your ERP.
“Manual is fine.”
If you get a handful of orders a week, stay manual. We would tell you so on the call. If your sales desk keys the same reorders every day, count those hours, then the cost of every wrong line that reaches a customer. One manufacturer on a public forum says their admins spend 2 to 3 hours a day on it.
“It is cheaper to build it ourselves.”
The first build is the easy part. The cost comes after go-live: an ERP or shop update breaks the link, and someone has to notice and fix it. The monthly fee covers us watching every order and fixing the link when that happens, with no day rates for fixes.

Tell us what your sales desk keys by hand: emailed orders, the same reorders by phone, or a shop that does not match your ERP. We will come back with a plan and a fixed price. You keep the plan either way.

What distributors ask us first

Will it work with our ERP?

Yes, any ERP. B2Bware is made by SyncSpider, the integration platform we have run for 10 years. If your ERP is not covered, we build the link. ERP updates are fixed in the monthly fee.

Can every customer see their own prices across a huge catalogue?

Yes. Each account sees its own prices, range and terms, live from your ERP. Kienesberger runs this across a multi-brand catalogue, about 70,000 price entries.

Our customers phone and WhatsApp their orders. Does that work?

Yes. Phone and WhatsApp orders are captured into the ERP, so they are not keyed by hand. Emailed PDFs and spreadsheets are read automatically too.

Can our big customers order from their own buying system?

Yes. Punchout lets a large account order from inside its own procurement system, at its own prices, and the order lands in your ERP.

What happens when we pass 1,000 orders a month?

The first 1,000 are included in the £349. After that it is about 15p an order. There are no per-user fees.
